Refund & Return Policy | Hiking Hound Adventures

We understand things can happen unexpectedly and you may need to cancel for reasons out of your control. However, a lot of time and effort go into the planning and logistics of our programs and rentals and there can be people waiting to sign up for spots that have been reserved. Please, read our cancellation and refund policy carefully and reach out directly with any questions you may have.

Weather: Our courses, hikes, and trips happen rain or shine. Please remember to dress for the weather and be prepared. In the event that the weather poses a serious hazard, we will make a go/no go decision onsite, at the time of the event. Paddlesports programs may be rescheduled if river levels or conditions are unsafe—final call made 1 hour before start.

SUP Yoga – Special Weather Policy
SUP Yoga requires calm, stable conditions. We’ll make a final weather call 1 hour before class. While light rain is usually fine, if conditions aren’t safe or relaxing (e.g., high winds, heavy rain), we’ll reschedule and notify you by email and text. Your spot will transfer to the new date, or you can request a credit to attend a future course.

IMPORTANT: ALL REFUNDS WILL BE ISSUED ONTO THE ORIGINAL FORM OF PAYMENT. All refunds issued are less processing fees unless, due to unforeseen circumstances, Hiking Hound Adventures, LLC cancels, then a full refund will be issued. Larger refunds may be issued by check at our discretion and may take additional time to process.

Land Courses, Single Day River Floats, and Day Hikes:

If cancelled more that 48 hours prior to the course, a full refund less processing fees will be issued. If cancelled more than 24 hours prior (but less than 48 hours) to the course, a fifty percent (50%) refund will be issued. No refund will be issued for cancellations within 24 hours of the course. We understand plans sometimes need to change—while transfers aren’t guaranteed, we’re happy to review requests on a case-by-case basis. A transfer fee may apply. If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel prior to the course, a full refund will be issued. If a situation outside of our control, such as an emergency, requires us to end a program early, no refund will be issued. Some courses have minimum number requirements to run. In the event that registration doesn’t meet the minimum, the option for a transfer or full refund will be available.

Trips and Multi-Day Courses:

If cancelled more than 14 days prior to the program, a full refund less processing fees will be issued. If cancelled more than 7 days (but less than 14 days) prior to the program, a fifty percent (50%) refund will be issued. No refund will be issued for cancellations less than 7 days of the program. We understand plans sometimes need to change—while transfers aren’t guaranteed, we’re happy to review requests on a case-by-case basis. A transfer fee may apply. If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel prior to the trip, a full refund will be issued. If a situation outside of our control, such as an emergency, requires us to end a program early, no refund will be issued. Some trips and courses have minimum number requirements to run. In the event that registration doesn’t meet the minimum, the option for a transfer or full refund will be available.

Leave No Trace and Wilderness First Aid Canoe/Kayak/Backpacking Based Courses:

Due to the logistics involved, the following applies to trip based courses:

If you cancel more than 21 days before the trip begins, you will receive a full refund, minus processing fees. Cancellations made more than 14 days (but less than 21 days) before the trip will receive a 50% refund. No refunds will be issued for cancellations made less than 14 days of the trip start date. We understand plans sometimes need to change—while transfers aren’t guaranteed, we’re happy to review requests on a case-by-case basis. A transfer fee may apply. If a situation outside of our control, such as an emergency, requires us to end a program early, no refund will be issued. If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel the trip in advance, you will receive a full refund. Some trips and courses have minimum number requirements to run. In the event that registration doesn’t meet the minimum, the option for a transfer or full refund will be available.

ACA Paddling Courses, Leave No Trace, and Wilderness First Aid Courses

If cancelled more than 14 days prior to the program, a full refund less processing fees will be issued. If cancelled more than 7 days prior (but less than 14 days) to the program, a fifty percent (50%) refund will be issued. No refund will be issued for cancellations less than 7 days of the program. We understand plans sometimes need to change—while transfers aren’t guaranteed, we’re happy to review requests on a case-by-case basis. A transfer fee may apply. If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel prior to the Programs, a full refund will be issued. If a situation outside of our control, such as an emergency, requires us to end a program early, no refund will be issued. Some trips and courses have minimum number requirements to run. In the event that registration doesn’t meet the minimum, the option for a transfer or full refund will be available.

Summer Camps, Day Camps, Afterschool Programs:

Hiking Hound Adventures, LLC summer camps require significant planning, staffing, and preparation well in advance of the program start date. Because of this, the following policy applies to all summer camp registrations:

If cancelled more than 30 days prior to the camp start date, a full refund less processing fees will be issued. If cancelled more than 14 days prior (but less than 30 days) to the camp start date, a fifty percent (50%) refund will be issued. No refund will be issued for cancellations less than 14 days prior to the camp start date.

We understand unexpected events can occur. While transfers are not guaranteed, requests to transfer to another session may be considered on a case-by-case basis, subject to availability and approval. A transfer fee may apply.

If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel a camp before it begins, a full refund will be issued. If an emergency or situation beyond our control requires us to end a camp early, no refund will be issued.

Camps happen rain or shine unless weather conditions present a safety hazard. In such cases, programs may be modified, delayed, or rescheduled at the discretion of Hiking Hound Adventures, LLC. No refunds will be issued for shortened or adjusted days due to weather.

All cancellation and transfer requests must be submitted in writing.

Partnership Programs:

Hiking Hound Adventures, LLC partners with many communities and groups. Some of the partners handle their own registration. All cancellations and refunds must be handled through the point of purchase. Refer to the partner’s cancellation policy and contact them directly for questions regarding your purchase. Hiking Hound Adventures, LLC cannot process refunds, cancellations, exchanges, or updates to your purchase that was made through a third party site. Hiking Hound Adventures, LLC does not honor gift cards or coupons for third party sites. Registration fees may vary when signing up through partner organizations. Some partners charge additional fees for non-residents or their own administrative processes. These fees are set by the partner and are outside of our control. Partnership courses and trips happen rain or shine. Please remember to dress for the weather and be prepared. In the event that the weather poses a serious hazard, we will make a go/no go decision onsite, at the time of the event.

Rentals:

Rentals are booked in full day increments only. A rental day is from 7am-8pm EST. If you are unable to return the rental by 8pm the day your booking ends, you must book an additional day. Late rentals will incur fees.

_{For example: You book your rental for Saturday, but you are unable to return it prior to 8pm that day, you must also book the rental for Sunday.}

Rentals must be picked up and returned at a pre-determined location. We DO NOT ship rentals. Rental must be picked up by the person who rented it. The credit card used for purchase and a valid ID are required at pickup. Hiking Hound Adventures, LLC will not release the item to anyone other than the person who booked the rental. Rentals cannot be rented by persons under the age of 18.

Rentals may be cancelled or rescheduled up 24 hours prior to the scheduled rental date. If cancelled within this timeframe, a full refund less processing fees will be issued. No refund will be issued for cancellations less than 24 hours of the rental. If unforeseen circumstances require Hiking Hound Adventures, LLC to cancel prior to the rental, a full refund will be issued. No refund or credit will be issued for rentals returned early.

Late rentals will be charged fifty percent (50%) of the regular rental rate per hour until the item is returned.

Dirty Rentals will be charged a cleaning fee of fifty percent (50%) the price of a regular day rental for that item.

Any damaged rentals will be charged the full price of the repair or one hundred percent (100%) the cost of replacement of the item if it can’t reasonably be repaired.

Special Event Rentals and Rentals for Trips:

Rentals are also available for Hiking Hound Adventures, LLC special events or trips. When renting for these programs, the rentals will be brought to the event by Hiking Hound Adventures, LLC. They will be made available for the event only and must be returned to Hiking Hound Adventures, LLC staff by the end of the event. Rentals during these events may not leave the event premises or taken to other areas separate from the designated sites. All items must be returned in the same condition in which they were loaned and are subject to the same conditions, penalties, and fees as regular daily rentals. Due to high demand and the special pricing, special event rentals are non-refundable. If the event is rescheduled for any reason, the rentals will be transferred to the new date. If the event is cancelled due to reasons beyond our control, no refund will be issued.

Private Events:

Private events are custom experiences booked by individuals, families, or small groups (e.g. birthdays, celebrations, private hikes or paddles).

Full payment (100%) is required at the time of booking, and all payments for private events are non-refundable. Our programs happen rain or shine and rain dates are not guaranteed. Requests to reschedule will be considered on a case-by-case basis and are subject to availability. If Hiking Hound Adventures, LLC cancels the event in advance, we will issue a full refund. No refunds will be issued if an emergency or situation beyond our control causes the event to end early. All cancellation and reschedule requests must be made in writing.

Groups and Organizational Events:

This includes programs for schools, camps, municipalities, nonprofits, and other formal organizations. A 25% non-refundable deposit is required to reserve a date, with the remaining balance due upon completion of the program. If Hiking Hound Adventures, LLC cancels prior to the scheduled event, a full refund will be issued. In the event of early termination due to emergencies or circumstances beyond our control, no refunds will be given. All cancellations and refund requests must be submitted in writing, and any rescheduling will be evaluated on a case-by-case basis and is subject to availability.

Merchandise Returns:

Items may be returned in the same condition and packaging in which it was sold within thirty (30) days of purchase. Certain items cannot be returned these include:

Food
Fuel
First Aid
Safety equipment such as climbing gear

We reserve the right to refuse a return for any reason.

Gift Cards

Gift cards for Hiking Hound Adventures, LLC cannot be redeemed for cash. Certain restrictions my apply and items may be excluded. Gift cards expire two (2) years from the date of purchase. Gift cards can only be redeemed on hikinghoundadventures.com and cannot be used for programs where Hiking Hound Adventures, LLC has partnered with a third party nor can they be redeemed on the third party’s website. Hiking Hound Adventures, LLC cannot honor third party gift cards, gift certificates, or coupons.

Program Disclaimers

Hiking Hound Adventures, LLC provides high quality outdoor programs and guided experiences. The following disclaimers apply to all programs unless otherwise noted.

Weather and Conditions

Our programs run rain or shine. Decisions related to severe or hazardous weather are made on-site by the instructor to ensure participant safety. Weather cancellations or delays will be handled according to our published cancellation and rescheduling policies.

Physical Readiness and Health

Participants must be physically able to take part in the activity they register for. By registering, participants acknowledge that outdoor recreation carries inherent risks. Participants are responsible for managing their personal health needs, including medications.

Instructor Role and First Aid Limitations

For most programs, instructors carry a group first aid kit and may provide only basic assistance such as band-aids, CPR, tourniquet application, Narcan administration, and contacting emergency services. Instructors cannot diagnose medical conditions, treat wounds, or provide medications. On backpacking trips, a certified Wilderness First Responder (WFR) is present and may make life- or limb-saving decisions and provide medical treatment as needed in accordance with their training.

Gear Responsibility

Participants are responsible for bringing the required clothing and equipment as listed in the program description. Rental gear is available for some programs but must be reserved in advance.

Age Recommendations

Age recommendations listed for each program are guidelines. All are welcome unless a specific safety-based restriction applies. Parents and guardians are responsible for assessing readiness for youth participants.

Public Land Use

Many programs take place on public lands where we do not control trail conditions, water levels, wildlife, or other recreational users. Routes, itineraries, and activities may be adjusted by the instructor for safety and time management.

Minimum Enrollment

Some programs require a minimum number of participants. If enrollment is not met, Hiking Hound Adventures, LLC may reschedule the program or issue credit according to our cancellation policy.

Itinerary Changes

Outdoor conditions can change unexpectedly. Instructors may alter the plan, pace, route, or curriculum at their discretion to maintain safety and program quality.

Safety and Behavior

Participants are expected to follow instructor directions and use good judgment. Unsafe behavior or failure to follow instructions may result in removal from the program without refund.

Accessibility and Adaptive Needs

We welcome participants of all abilities. Some program locations have accessibility limitations beyond our control. Participants with adaptive needs are encouraged to contact us ahead of time so that reasonable accommodations can be discussed.
